Who is responsible for your details?
The Ultimate Project World (“we”, “us”) runs phdproject.in and decides how the details you send us are used. Under India’s Digital Personal Data Protection Act, 2023 (the DPDP Act), that makes us the data fiduciary for your personal data, and you the data principal.

What details does the consultation form ask for?
The form on the home page asks for seven things. Only your name and WhatsApp number are required.

Later in the chat you may send more, such as your guide’s comments, a base paper or your institution’s format. We use those files only for your project. Please don’t send passwords, ID numbers, bank details or marksheets unless we specifically need them and you are comfortable sharing them.
What does this website save or track?
The site saves only what you send through the consultation form. In detail:
- What the form saves. When you press the button, your name, WhatsApp number, degree, the help you picked, branch, deadline and topic, plus the page you were on and where you came from (campaign tags and ad click ID), are sent to a private Google Sheet in our Google account. Only our team can open it. Nothing is saved while you are still typing.
- One temporary copy on your device. After you press the button, your browser keeps the prepared WhatsApp link in this tab’s session storage, so the “press Send” step still shows if you come back with the Back button. It is deleted when you close the tab or choose to edit your details, and it never leaves your device through this site.
- Where you came from, on your device only. If you arrive through an ad or a campaign link, your browser keeps that link’s campaign tags (such as
utm_source=google) and ad click ID in its local storage for up to 90 days. The site adds a short “Source:” line to the WhatsApp message it prepares, and saves the same tags with your form answers, so we know which ad brought you. You see the line before you press Send and can delete it from the message. - Analytics and ad measurement, only when switched on. Google Analytics, the Google Ads tag and the Meta Pixel can be switched on to measure our ads. They use cookies, and the next section explains what they collect. When they are off, the site sets no cookies and makes no requests to Google Analytics, Google Ads or Meta.
- Fonts from this site. The fonts are stored on this website and load from it, so opening a page sends no request to Google Fonts or any other font service.
- A map only if you ask for it. The project centre in Mumbai page can show a Google Maps map of Chembur. It loads from Google, and Google receives your IP address and browser details, only after you press “Show the map”.
- Hosting logs. The company that hosts this site may keep standard server logs (IP address, page requested, time and browser type) to keep the site secure and running.
Do you use Google Analytics, Google Ads or the Meta Pixel?
This site is set up to use them so we can see which pages and ads lead students to contact us. Each one runs only when we switch it on in the site’s settings, and none of them receives your name, WhatsApp number, topic or message.

Besides page views, the site sends two events. Lead is sent when you press the button on the consultation form, and Contact when you tap a WhatsApp button. Each event carries the page, which button or form was used, the degree and services you ticked (for example “M.Tech” and “Research paper”), and a random event number. These answers do not identify you.
- Never sent: your name, WhatsApp number, branch, deadline, topic or the text of your message.
- Kept switched off: Google’s enhanced conversions and Meta’s advanced matching, features that would send a scrambled (hashed) copy of details such as your phone number.
- Your IP address: Google says Google Analytics 4 does not log or store IP addresses. Meta receives your IP address with each Pixel event, as any website you visit does.
- How long: Google Analytics keeps event-level data for the period set in our account, at most 14 months. Google and Meta keep ad data under their own policies: how Google uses information from sites that use its services and Meta’s privacy policy.
These tools are not needed for the site to work, so the form and the WhatsApp buttons behave the same if you block them.
How can you opt out of analytics and ad tracking?
- In your browser: block third-party cookies, clear cookies for this site, use a private window, or use a content blocker. Safari and Firefox block many trackers by default.
- Google Analytics: install Google’s Google Analytics opt-out browser add-on.
- Google ads: turn off personalised ads in My Ad Center. Google’s cookie information for its ad products lists the cookies it uses.
- Facebook and Instagram ads: in Meta’s ad preferences (Accounts Center), turn off the use of activity information from ad partners. Meta’s cookies policy explains the rest.
- On your phone: reset or delete your advertising ID on Android, or keep “Allow Apps to Request to Track” off on iPhone. This also covers links opened inside the Instagram or Facebook app.
What happens after you press Send in WhatsApp?
The message travels through WhatsApp, a service run by Meta, and WhatsApp’s own terms and privacy policy apply to it. When it reaches us, we can see your message, your WhatsApp number and whatever profile name and photo your WhatsApp settings show.
If you press the button but don’t send the WhatsApp message, your answers are still in our sheet, and we may message you once about your consultation. If you would rather not hear from us, say so and we will delete them. You can also message us directly without using the form.
How do we use your details?
- To reply to you and understand what you need.
- To prepare a written plan and quote.
- To build, review and deliver the work you approve, and support you until submission.
- To keep basic records of the work and payments, where the law requires it.
We don’t sell or rent your details, and we don’t add you to marketing lists. Any example we show from delivered work has student, guide and institute details removed, and we ask before using any part of your project as an example.
Who else can see your details?
- People working on your project, and only the parts they need.
- Payment providers such as your bank or payment app, when you pay. Their own policies apply.
- Google stores the sheet that holds your form answers, as our service provider (Google Sheets in our Google account), under Google’s own terms.
- Google and Meta also receive the measurement data described in the section on Google Analytics, Google Ads and the Meta Pixel, when those tools are on. Those ad and analytics tools never receive your name, number or topic, only the degree and services you ticked.
- Authorities, only if the law requires us to share.
We never contact your guide, college or university about you unless you ask us to.
How long do we keep your details?
We keep your chat and files while we are working with you and for 12 months after the project ends, so we can support you and answer questions. Then we delete them, except records the law requires us to keep, such as invoices. If a consultation does not go ahead, we delete your details within 90 days. You can ask us to delete your data sooner at any time.
What are your rights under the DPDP Act, 2023?
In general terms, the DPDP Act gives you these rights over your personal data. They apply as the Act and its rules take effect, and this summary is not legal advice.
- Withdraw consent at any time, as easily as you gave it. We then stop using your details and delete them, unless the law requires us to keep something. Withdrawal does not undo what was done before it.
- Access a summary of the personal data we hold about you, how we use it and who we have shared it with.
- Correct, complete, update or erase your personal data.
- Grievance redressal: raise a complaint with us and get a response.
- Nominate someone to exercise these rights for you in case of death or incapacity.
If you are not satisfied with our response to a grievance, you can complain to the Data Protection Board of India.
What if you are under 18?
Our work is meant for college students and researchers. If you are under 18, please ask a parent or guardian to contact us. The DPDP Act requires verifiable consent from a parent or guardian before we can use a child’s personal data.
How do we protect your details?
We keep chats and files on password-protected devices and accounts, share them only with the people working on your project, and delete project files when they are no longer needed. If a data breach affects your details, we will inform you and the Data Protection Board as the law requires.
How do you contact us about privacy?
Message us on WhatsApp or write to our grievance contact below. Tell us what you want, for example a copy, a correction or deletion of your details, and we will reply.

Will this policy change?
If the website or the way we handle details changes, we will update this page and the “Last updated” date at the top. If you are working with us when a significant change is made, we will tell you on WhatsApp.
Common questions about privacy
Does this website save what I type into the form?
Yes, when you press the button. Your answers and where you came from are saved to our private Google Sheet so we can reply to you, and kept as described in how long we keep your details. Nothing is saved while you are still typing.
Does this site use cookies or ad tracking?
Only when we switch on Google Analytics, Google Ads or the Meta Pixel to measure our ads. They set cookies and learn which pages you view and which ad you came from, but never your name, number or topic. You can block them in your browser or ad settings, and the site works the same.
Who can see my WhatsApp message?
We can, once you send it, along with the people working on your project. WhatsApp carries the message under its own policies.
Can I ask you to delete my details?
Yes, at any time. Message us on WhatsApp and we will delete your chat and files, except records the law requires us to keep.
Will my college or guide find out I contacted you?
Not from us. We never contact your guide or institution unless you ask us to, and any example we show has names and institute details removed.
